Dear IUPUI Community,

An email announcement was previously sent to faculty and staff with an update on planning activities for the Super Bowl and how our campus may be impacted due to the close proximity of several events and activities.

The Super Bowl will be played on the evening of Sunday, February 5th. In addition, it is expected that there will be difficulties encountered by people trying to reach IUPUI on Friday, February 3rd and on Monday, February 6th until about 2pm. The campus will be open on the weekend, but classes are cancelled on Saturday, February 4th and Sunday, February 5th with the exception of some clinical classes.

Faculty members have been encouraged to consider alternative methods and locations for instruction on both Friday and Monday to ease traffic congestion and reduce stress on our students. Deans, Directors, and Department Heads are encouraged to consider the following options to help reduce the level of activity on campus for those two days:

Flexible Work Arrangements

  • Flex start/stop times to avoid periods of heavy traffic/activity
  • Work a compressed work week, i.e. , four 10-hour days, three 12-hour days and one 4-hour day
  • Work from an alternate location (another campus location or home)
  • Work a different schedule within the same work week, e.g., Sunday-Thursday rather than Monday-Friday
Remember that these options and alternative work arrangements must be approved by the supervisor and not every option will be appropriate for every position on campus. As always, some employees will be required to work their regular schedules during this time an alternative work arrangement may not be appropriate.

Department Closings
For department closing related to the Super Bowl and how our campus may be impacted due to the close proximity of several events and activities, the following alternatives cover time-off for Staff employees:
  • Utilize one of the flexible work arrangements listed above, with supervisory approval
  • Use accrued paid-time-off/vacation benefits;
  • Use accrued compensatory time
  • As a one-time exception, Staff employees may use income protection/PTO sick bank if all other options (e.g. vacation time, PTO, flexible scheduling, variable scheduling, or alternative workweeks) are not available
  • Instead of using paid-time-off benefits, request an absence without pay and with paid-time-off benefit accrual (AWB), with supervisory approval
